Digital safety workflow helps manage approximately 500 monthly inspections while reducing administrative work and enforcing task sequencing

HINCKLEY, OH, UNITED STATES, October 8, 2026 /EINPresswire.com/ — A Caterpillar site conducting approximately 500 safety inspections each month has reduced the time spent on inspection documentation, filing and reporting from nearly 69 hours per month to less than 17 hours after implementing Smart Safety Pro, according to a newly released case study.

The approximately 52 hours saved each month reflects a larger challenge facing complex industrial operations: managing high volumes of safety activity while ensuring required tasks happen in the correct order.

Across the Caterpillar operations detailed in the case study, more than 600 projects may be active, with at least 10 daily, weekly, onboarding or closeout checks associated with each project — more than 6,000 individual actions requiring tracking and oversight.

Caterpillar’s safety workflow also includes dependencies between employees and tasks. Before technicians can begin certain work, for example, supervisors must first complete required kickoff meetings and preliminary safety assessments. Paper-based tracking made documenting those activities possible, but it could not inherently prevent work from advancing before prerequisite steps had been completed.

Smart Safety Pro digitized that workflow and introduced controls that allow administrators to establish prerequisites for specific tasks and user groups. If a required preceding step has not been completed, the subsequent activity remains unavailable to the employee until authorization requirements are satisfied.

The system also centralizes inspection records, project information and reporting, reducing the manual work previously required to organize documentation and verify inspection activity.

At one Caterpillar site, those changes reduced monthly documentation and reporting time by approximately 76%, from nearly 69 hours to less than 17. The case study estimates that if similar savings were achieved across Caterpillar’s 65 key locations, the reduction could total approximately 3,380 administrative hours per month.

Rather than requiring Caterpillar to adapt its processes to a fixed software structure, Smart Safety Pro was configured around the company’s existing safety workflow. Administrators can create forms, organize inspections by project, assign responsibilities to user groups and establish recurring inspection schedules.

The platform also supports offline inspection work, allowing employees to collect data in areas without internet service and synchronize completed information once connectivity becomes available.
